OPHA Privacy Policy

Oregon Public Health Association (OPHA) members are encouraged to complete demographic data in the membership application. Providing this information is optional. Data is collected, analyzed, and stored for the following purposes:

  • Better understanding who OPHA members are
  • Assessing opportunities for outreach and engagement
  • Striving for increased diversity and inclusion

The OPHA membership form states that OPHA member demographic data will be kept confidential. The only individuals who will have access to identifiable data will be OPHA staff and members of the Nominations Committee for the purposes stated above.

Individuals with access to this data will be required to sign confidentiality agreements that state they will not share this information beyond the stated OPHA purposes. Demographic data will only ever be shared publicly or with board, section or other committee members in aggregate form, completely deidentified.

OPHA will not publicly report data for any demographic category in which there are fewer than five respondents. We will never release this identifiable demographic information to a third party.

OPHA also collects contact information from members and nonmembers for communication purposes and to assess where our members are located throughout the state. This information is accessible to staff and regularly shared to conduct the work of the sections and/or committees a member has affiliated with.

The full membership committee occasionally receives this contact information to evaluate membership changes and for communication. Contact information may also be shared with regional representatives on the board of directors for communication purposes. Staff and members in these roles will be asked to sign the confidentiality statement.

All confidential information shall be used explicitly and exclusively for the purpose of completing the work of OPHA. Confidential information shall not be used for any unauthorized purpose including, but not limited to, business not part of OPHA and recruitment to causes or organizations other than OPHA. Misuse of data could include change in membership status and up to legal action.

It is the policy of the Oregon Public Health Association (OPHA) that staff and members of OPHA that are authorized to receive confidential demographic or contact information belonging to members or nonmembers obtained through their affiliation with OPHA will not disclose such information to any person, including unauthorized OPHA members, their relatives, friends, and business and professional associates, unless OPHA has authorized disclosure. This policy is not intended to prevent disclosure where disclosure is required by law.

Confidentiality is the preservation of privileged information. Staff and authorized members of OPHA are cautioned to demonstrate professionalism, good judgment, and care at all times in handling any information related to OPHA to avoid unauthorized or improper disclosures of confidential information.

It is expected that staff and authorized members will not use member lists or other confidential information acquired by virtue of serving in their role with OPHA for their own purposes, even after they complete their service with OPHA.
